About the Office & Facilities Administrator role...
We are seeking an experienced and detail-oriented Office and Facilities Administrator. The Office and Facilities administrator role is responsible for ensuring the smooth day-to-day office operations including occupational safety and health. This role supports the HR team by overseeing administrative and facilities operations such as inventory management of supplies, coordinating maintenance, repairs & services, vendor management, liaison services and maintaining a healthy, safe and clean workplace.
What you’ll do...
- Oversees daily housekeeping and ensure cleanliness across the office area
- Coordinate office repairs, maintenance and services with Building Administration and vendors for timely resolution
- Conducts regular safety audits and ensure compliance with OSH standards
- Coordinate fire drills and emergency evacuation procedures
- Assist with Admin onboarding and offboarding of employees
- Facilitates official company errands and transactions in relation to processing of permits, licenses and other statutory and regulatory requirements
- Respond to requests for information from employees, and/or other interested parties; answers routine questions; directs visitors to appropriate locations;
- Prepares, reviews, and/or processes a variety of routine correspondence, reports, invoices, forms, agreements, and/or other related information in the assigned area of responsibility; data entry of information into applicable spreadsheets and/or databases.
- Monitors and restocks office supplies and materials.
What you’ll have...
- Have previous experience in the same capacity is preferred
- Has strong understanding of DOLE’s Occupational Safety & Health Standards and other safety regulations
- Possess well defined understanding and knowledge of office administration and management
- Attention to detail around accurate record management and filing is a must
- Excellent interpersonal & communication skills and able to thrive in a fast-paced environment with the confidence to work autonomously, constantly using your initiative and exceptional problem-solving skills.
