THE OPPORTUNITY
Flock is seeking a detail-oriented and experienced Payroll Analyst to be a critical member of our growing Finance team. Reporting to the Payroll Manager, the Analyst will perform complex administrative and accounting duties necessary to prepare multi-state payroll for over 1700 employees, encompassing Exempt, Salaried Non-Exempt, and Non-Exempt employee types.
You will leverage their comprehensive payroll expertise to ensure compliance with company policy, federal, state, and local payroll tax regulations, while utilizing the Rippling HRIS and Payroll Processing platform. This role demands exceptional accuracy, initiative, and the ability to meet strict deadlines in a fast-paced, high-growth environment.
Key responsibilities:
- Process high-volume, multi-frequency (Weekly, Bi-weekly, and Semi-monthly) multi-state payroll for over 1700 Exempt, Salaried Non-Exempt, and Non-Exempt employees, including complex Equity/Stock transactions and special payments (commissions, bonuses, relocations).
- Act as the subject matter expert for the Rippling HRIS and Payroll Processing system, utilizing it to ensure data integrity, system maintenance, and efficient payroll processing.
- Perform thorough pre-transmission and post-transmission payroll auditing and reconciliation to proactively identify and resolve discrepancies, ensuring absolute accuracy and compliance.
- Ensure strict compliance with all federal, state, and local payroll laws, including managing tax notifications, resolving discrepancies with Rippling support, and assisting with quarterly and year-end tax filings and W2 generation.
- Prepare and submit specialized compliance documentation, including certified payroll reports and prevailing wage documentation for specific project and government contract requirements.
- Manage, review, and initiate the accurate deduction and remittance of employee benefit contributions, including 401(k) and FSA plans.
- Support the financial close process by providing timely payroll entries into the General Ledger (GL) and maintaining required internal payroll reconciliations and schedules.
- Generate detailed payroll reports for critical requirements such as 401(k) audits, Workers Comp census, SOC1 documentation, and other ad-hoc audit and project requests.
- Manage the dedicated Payroll inbox, providing timely, professional, and confidential support to all employee inquiries regarding paychecks, deductions, and tax matters.
- Handle special projects and provide cross-functional backup support for the Finance/Accounting team as needed.
THE SKILLSET
- Bachelor’s degree in Accounting, Finance, or other related fields.
- 5+ years of progressive payroll experience supporting organizations with 500+ employees; or equivalent combination of education and experience.
- Comprehensive and hands-on experience with Rippling HRIS and Payroll Processing is required (be sure to state this on your resume!).
- Demonstrated experience managing multi-state payroll for a mix of Exempt, Salaried Non-Exempt, and Non-Exempt employees.
- Detailed knowledge of payroll compliance and a strong working knowledge of federal and state employment laws/regulations.
- Must be highly proficient in the use of a spreadsheet program (MS Excel and/or Google Sheets) for data analysis, reconciliation, and reporting (VLOOKUPs, Pivot Tables)
- Excellent organizational skills, with meticulous attention to detail and accuracy.
- Strong verbal and written communication and interpersonal skills to effectively interact with employees and cross-functional partners.
- Exceptional ability to maintain strict confidentiality and ensure the privacy of all payroll and employee data.
- Proven ability to work independently, exercise good judgment and decision-making skills, and effectively manage time under the pressure of non-negotiable deadlines.
